Who we are
This website, nordicsportstars.com, is operated by Balticprogear OÜ, a company registered in Estonia, operating as a travel undertaking (Reisiettevõtjana tegutsemine) under the Estonian Register of Economic Activities (Majandustegevuse register), registration number TRE001192.
For the purposes of data protection law, Balticprogear OÜ is the data controller responsible for the personal data described in this policy.
If you have any questions about this policy or how we handle your data, contact us at heikki@nordicsportstars.com.
What personal data we collect
We collect personal data only when you actively submit one of the enquiry forms on this site. We do not require an account, and we do not collect personal data from casual browsing.
Team / Camp Proposal form (main site): club or team name, country, contact person’s name, email address, phone / WhatsApp number, age group, competitive level, approximate number of players and total group size, preferred travel dates, preferred destination, selected programme interests, and any additional requirements you choose to write in.
Travel Partners enquiry form (/partners): company name, contact person’s name, email address, phone / WhatsApp number, markets served, preferred destination, group volume, partnership model of interest, services needed, and any message you choose to write in.
For both forms, we also automatically record the page you submitted from, basic referral and campaign information (if you arrived via a tracked link), your browser’s language setting, the submission timestamp, and your IP address. The IP address is used only to prevent spam and abuse (see “How we protect your data” below) and is not used to identify you personally.
How we use your data and why
We use the information you submit solely to respond to your enquiry: to prepare a proposal, quote, or reply, and to communicate with you about it by email or, where you’ve provided a number, by phone or WhatsApp. This processing is based on your consent and on the steps necessary prior to entering into a contract with you (Article 6(1)(a) and (b) GDPR).
We do not use your data for marketing communications, and we do not sell or rent your data to third parties.
Who we share your data with
Brevo (Sendinblue SAS), our email delivery provider, processes your data solely to send the email notification generated by your enquiry. Brevo is based in the EU (France).
GoDaddy, our hosting provider, stores the website and its database, including the backup copy of submitted enquiries described below.
We do not share your data with any other third party, and we do not use advertising or analytics services that track visitors on this site.
Cookies and tracking
This site does not currently use Google Analytics, advertising pixels, or any other visitor-tracking service. Search engines such as Google may crawl the site to index its pages; this does not involve tracking individual visitors.
If this changes in the future, this policy will be updated accordingly before any such tool is activated.
How long we keep your data
We keep the enquiries submitted through both forms, including the backup copy stored in our database, for 24 months from the date of submission, after which they are automatically deleted. This does not apply to any correspondence you separately keep or that we are legally required to retain for a longer period (for example, accounting records related to a confirmed booking).
Children and minors
Our forms are intended to be completed by an adult representative of a team, club, or organisation (a coach, manager, or parent), not by minors directly. We do not knowingly collect personal data directly from children through these forms. The “age group” field refers to a team category (e.g. U12, U14), not the personal data of any individual child.
How we protect your data
Submissions are sent over an encrypted (HTTPS) connection. Our forms include automated safeguards against spam and abuse, and submitted data is only accessible to Balticprogear OÜ and the service providers listed above.
Your rights
Under data protection law, you have the right to:
- Ask us what personal data we hold about you, and receive a copy of it
- Ask us to correct inaccurate data
- Ask us to delete your data, subject to any legal retention obligations
- Object to or restrict how we process your data
- Lodge a complaint with a supervisory authority — in Estonia, this is the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), www.aki.ee
To exercise any of these rights, contact us at heikki@nordicsportstars.com.
Changes to this policy
We may update this policy from time to time, for example if we add a new service or change how a form works. The “Last updated” date at the top of this page will reflect the most recent revision.
